MeetOS (“MeetOS”, “we”, “us”) builds meeting intelligence software that records meetings, generates transcripts and summaries, and organises the resulting tasks, decisions, and follow-ups into your projects. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using MeetOS, you agree to the practices described here.
1. Information we collect
We collect the following categories of information:
- Account information. Your name, email address, and password (stored only in hashed form) when you create an account, plus profile details you choose to add.
- Meeting content. Audio you record, the transcripts we generate from it, and the summaries, action items, decisions, and other intelligence we extract from those transcripts.
- Project & collaboration data. Projects, team members, participants, assignees, comments, and any notes you add inside MeetOS.
- Connected accounts. If you link Google Calendar or Gmail, we access your calendar events and send email on your behalf only with the scopes you explicitly grant. You can disconnect these at any time from Settings.
- Usage & device data. Log data, device and browser type, and basic analytics about how you interact with the product, used to keep the service reliable and secure.
2. How we use your information
- To transcribe, summarise, and extract structured insights from your meetings.
- To provide, maintain, secure, and improve the MeetOS product.
- To enable collaboration features such as shared projects, assignments, and Executive Assistant delegated access.
- To send calendar invites and meeting follow-up emails when you ask us to, using your connected Google account.
- To communicate with you about your account, including verification, security, and service notices.
3. AI processing
Transcription and intelligence features rely on trusted third-party processors (including a speech-to-text provider and a large-language-model provider) that process your content solely to return results to you. We do not permit these processors to use your meeting content to train their models, and your content is not sold or shared for advertising.
4. How we share information
We do not sell your personal information. We share it only:
- With people you choose — team members, participants, or an Executive Assistant you grant access to within your workspace.
- With service providers — infrastructure, storage, and AI processors (such as Google Firebase) that operate under contractual confidentiality and data-protection obligations.
- For legal reasons — when required by law or to protect the rights, safety, and security of MeetOS and its users.
5. Data storage & security
Your data is stored on Google Cloud / Firebase infrastructure and protected with encryption in transit and at rest. We restrict access to your content to authorised systems and personnel and apply industry-standard safeguards. No method of transmission or storage is completely secure, but we work continuously to protect your information.
6. Data retention
We retain your meeting recordings, transcripts, and account data for as long as your account is active or as needed to provide the service. You can delete individual recordings and projects at any time, and deleting your account removes your associated content, subject to limited retention required for legal, security, or backup purposes.
7. Your rights & choices
- Access, correct, or export your personal information.
- Delete recordings, projects, or your entire account.
- Disconnect linked Google Calendar / Gmail access from Settings at any time.
- Request that we restrict or stop processing your data, subject to applicable law.

8. Children's privacy
MeetOS is not intended for anyone under the age of 16, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you within the product.
